We are committed to protecting and respecting your privacy. This Privacy Policy explains how we collect, use, store, and protect your personal information when you visit our website, enquire about or book our services, use our tools, or communicate with us.

3. What Personal Data We Collect

We only collect personal data that is necessary to respond to you and deliver our services. The data we collect depends on how you interact with us.

3.1 Enquiry & Booking Form

When you submit our contact / "check availability" form, we collect:

  • Your name
  • Email address and (optionally) phone number
  • Event date, event type, and estimated guest count
  • Venue, package of interest, and the services you select
  • Any details you include in your message

3.2 Build My Vibe Tool

When you use our "Build my Vibe" playlist tool, we process the event preferences you choose — such as energy level, musical eras, genres, crowd description, and any notes — in order to generate playlist suggestions for you. If you choose to send these to us with an enquiry, they are included in your message.

3.3 Website Visitor Data

When you visit our website, limited technical data may be collected, including through Google Analytics. This may include:

  • IP address (anonymised where possible), browser type and version, and operating system
  • Pages visited, referral source, and approximate visit duration
  • General device information and approximate location

3.4 Sensitive / Special Category Data

We do not seek or require sensitive personal data (such as health information, racial or ethnic origin, or religious beliefs) to provide our services. Please avoid including such information in your enquiries.

4. How We Collect Your Data

  • Directly from you — via our website forms, email, phone, messages, or in-person conversations.
  • Referrals & listings — when you reach us through a partner directory (such as Hitched), a venue, or a personal recommendation.
  • Our website — via essential cookies, standard server logs, and Google Analytics (see Section 11).

5. Legal Bases for Processing

Under the UK GDPR, we must have a lawful basis for processing your personal data. We rely on the following:

  • Legitimate Interest (Article 6(1)(f)) — to respond to your enquiries, plan your event, and run our business, where this does not override your rights and freedoms.

We do not carry out automated decision-making or profiling.

7. Who We Share Your Data With

We do not sell your personal data, and we never share it with third parties for their own marketing. We use a small number of trusted service providers who process data on our behalf:

  • Secure cloud platform — our website, database, and backend run on access-controlled cloud infrastructure where your enquiry details are stored.
  • Analytics — we use Google Analytics to understand how visitors interact with our website. Google may process your data in accordance with its own privacy policy and may transfer data outside the UK. See Section 11 for more details.
  • AI playlist generation — when you use the Build my Vibe tool, the preferences you choose are sent to a third-party AI provider in real time to generate suggestions back to you. AI-generated output can be inaccurate or incomplete, so please review it before relying on it.
  • Email delivery — enquiry notifications and replies are sent using our dedicated sending domain (notify.dfractdevents.com) via an email delivery provider.
  • Professional advisors — such as accountants or legal advisors, where necessary.
  • Regulatory or law enforcement bodies — where required by law, regulation, or legal process.

8. International Data Transfers

Some of our service providers may process data outside the United Kingdom. Where this happens, we take reasonable steps to ensure appropriate safeguards are in place, such as UK-approved Standard Contractual Clauses or processing in countries covered by a UK adequacy decision.

9. Data Retention

We keep personal data only for as long as necessary:

  • Enquiry & booking data: kept while we handle your enquiry or event and for a reasonable period afterwards (typically up to 24 months), unless you ask us to delete it sooner or we have a legal reason to keep it longer.
  • Booking & financial records: retained for up to 6 years to meet tax and accounting obligations.
  • Build my Vibe preferences: used to generate your playlist and not separately stored by us, unless you submit them to us as part of an enquiry.
  • Website technical / log data: retained for a short period for security and diagnostics.

After these periods, data is securely deleted or anonymised.

10. Your Rights Under the UK GDPR

You have the following rights in relation to your personal data:

  • Right of access — request a copy of the personal data we hold about you.
  • Right to rectification — request correction of inaccurate or incomplete data.
  • Right to erasure — request deletion of your data where there is no compelling reason to keep it.
  • Right to restrict processing — request that we pause processing of your data.
  • Right to data portability — request a machine-readable copy of the data you provided.
  • Right to object — object to processing based on legitimate interests, or to any direct marketing.

11. Cookies & Similar Technologies

Our website uses essential cookies needed for the site to function securely, and — with your consent — analytics cookies (such as Google Analytics) that help us understand how visitors reach and use our website.

We use Cookiebot to manage cookie consent. When you first visit, a banner lets you accept or decline non-essential cookies, and analytics cookies are not set until you consent. You can change or withdraw your choice at any time from our Cookie Policy page, which also lists every cookie we use.

Google Analytics

We use Google Analytics 4, a web analytics service provided by Google Ireland Limited (with data processing also carried out by Google LLC). Google Analytics uses cookies and similar identifiers to help us measure how visitors reach and use our site. Where analytics cookies are enabled with your consent, it collects information such as the pages you visit, time spent on the site, referral source, and general device/browser and approximate location details. We have IP anonymisation enabled where supported.

Legal basis: we only set and use Google Analytics on the basis of your consent (UK GDPR Article 6(1)(a)), collected through our cookie banner. If you do not consent, no Google Analytics cookies are set and no analytics data is sent.

Retention: Google Analytics data associated with cookies and identifiers is retained for up to 14 months, after which it is automatically deleted or aggregated.

International transfers: Google may process this data outside the United Kingdom under appropriate safeguards such as UK-approved Standard Contractual Clauses. Google acts as our data processor for this purpose.

You can withdraw consent at any time via our Cookie Policy page, install the Google Analytics Opt-out Browser Add-on, and learn more about how Google uses data at policies.google.com/privacy.

We use appropriate technical and organisational measures to protect your personal data, including:
